Instructions for Paper Authors

Papers should be 4-8 pages in length, and prepared using Word then converted to pdf format. The preferred font is Times New Roman. Regular text should be 10-point type. Minimum point size for all text (including text in graphics and tables) is 4 points. All images must be embedded in your document. A sample document and template are attached with this email. The template is a sample document that also contains instructions for formatting and preparing the papers in the IEEE conference format.

Overall appearance
Conference manuscripts should adhere to the appearance of the standard IEEE two-column format that is used in the IEEE Transactions with the following exceptions: no headers, no footers, and no page numbers.

Paper Format specifications:

  •  Papers cannot be accepted with margins smaller than those outlined in the Word template (attached in this email).
  • All fonts must be embedded in the file.
  • Fonts that require non-English are not allowed.
  • The paper size for final submission must be US Letter.
  • Documents must not have any password protection.
  • All papers must be converted to pdf form and meet the IEEE pdf standards.

PDF requirements:

  • PDF Compatibility: PDF version 1.4 (Acrobat 5) preferred. This assures that Acrobat Readers 4, 5 and 6 will be able to open the document.
  • Optimize PDF: Yes. This allows faster viewing of the first page of the file on the web.
  • Print Resolution: 600 dpi. Better print output
  • Color/Grayscale Images: Bicubic Downsampling at 300dpi. Create/scan color images at 300dpi or higher.
  • Compression for Color Images: JPEG/Medium Quality. Ensures that loss of quality due to compression is not excessive.
  • Monochrome Images: Bicubic Downsampling at 600dpi. Same quality as printed text.
  • Compression for Monochrome Images: CCITT Group 4. To keep the PDF file size reasonable. Compress Text and Line Art: Yes. To keep the PDF file size reasonable.
  • Subset all Font if less than 100% of the Font is used. Otherwise, embed the entire Font. This will ensure that all readers see the exact same document.
  • Base 14 Fonts: Subset Adobe Base 14 fonts (e.g. Times, Helvetica, etc) or their equivalent (Times New Roman, Arial, etc.)
  • Security: All security settings must be turned off. No passwords must be assigned.
  • Links and Bookmarks: The final PDF should not have any links or bookmarks.
  • Page numbers, footers or headers: The final PDF should not have any page numbers, footers or headers.

Instructions to Poster Authors

  • Poster boards measuring 4 x 4 feet will be provided to the participants. The recommended poster size is 30 inches wide by 40 inches tall.  However poster presenters may vary from this size if the presented material fits in the space provided.
  • Tags placed on the boards will correspond to the first author’s last name.
  • Each author is responsible for placing his/her poster on the assigned board prior to the opening of the poster session. Velcro tabs will be provided; do not use thumb tacks.
  • Authors must remain with their posters to discuss results and answer questions from other attendees during the poster session.
  • Posters must remain up for viewing until the session ends at which time they must be promptly removed.

 

Poster Design Guidelines and Suggestions

  • If you plan to prepare a poster, a simple roll-up poster on paper is quite adequate. It can be mounted on the poster board using the Velcro tabs provided.
  • All posters should include a title and list the authors and their affiliations.
  • Use a crisp, clean design. All lettering should be legible from about 5 feet (1.5 m) away. Title lettering should be about 2 to 3 in. (5 to 7.5 cm). Subheading lettering should be 0.5 to 1 in. high (1.25 to 2.5 cm). Text lettering should be approximately 24 points (0.25 in. or 0.625 cm).
  • Make illustrations simple and bold, with captions at least 3/8 in. high. Enlarge photos, tables, and charts to show pertinent details clearly. 
  • Do not tell the entire research history. Present only enough data to support your conclusions and show the originality of the work. The best posters display a succinct statement of major conclusions at the beginning, followed by supporting text and a brief summary at the end.
  • Displayed materials should be self-explanatory, freeing you for discussion.
  • You may want to bring handouts of your abstract or copies of your data and conclusions to share with interested viewers. Some authors also provide sign-up sheets to record names and addresses of attendees who might wish more information, reprints, etc.
